The prospective client receives an overview of our services and a checklist of documents that will make our site visit maximally productive.
Initial Client Meeting
Young, progressive, energy, we get it, want clients to understand our passion and commitment…We value meeting with our customers in person to review each client’s current lighting configuration and energy use and to understand any unique features of their site. We present options for ways that clients can improve their lighting quality and workplace environment while decreasing energy consumption and maintenance costs.
Lighting Study
A detailed facility lighting study may be performed the same day as the initial meeting, or at a later date, depending on time allowed. All surveys are conducted by Spectrum representatives who have expertise in a wide variety of commercial and manufacturing settings. Factors such as usage patterns, lamp and ballast type, and measures of luminosity (foot-candles) are evaluated. Our product offerings can improve both the quantity and quality of light (see “Why Now is the time to ditch your HIDs”).
The data is then entered into Spectrum’s proposal system, and all energy usage, savings, and project costs are calculated
Project Analysis & Design
Spectrum customizes every proposal to the clients needs focused on balancing energy savings, light levels, and light quality in each facility area. Many factors must be considered including existing conditions, tasks performed, return on investment, and specific customer requests. Our projects are designed on a per facility basis to achieve the best possible results for the customer
In addition to retrofitting projects, we also work with clients on new construction proposals to design and implement optimal lighting systems.
Custom Fixture & Reflector Design
You can be confident that you will receive the fixtures & reflector that best meet you lighting system needs. If necessary, we can provide custom retrofit designs to meet particular challenges. Additionally, we provide assistance to meet specific codes, standards, and specifications.
Presentation of Proposal
Our proposal format reflects the specific needs and requests of our customers. We are accustomed to working with savvy business folks who need to make an informed purchase decision. We pride ourselves on straightforward communication and encourage customers to ask questions about any of the information set forth in the proposal. In addition to the face-to-face meeting, we provide customers with a hard copy that encompasses the following content:

3. Total Cost of Labor/Recycling/Lift Rentals (if applicable)
4. Fixture Schedule and Layout
4. Return on Investment
5. Rebates
6. Economic Impact; Energy Savings; HVAC Savings

As part of our comprehensive service, Spectrum will prepare and submit rebate applications on the client’s behalf and perform technical reviews of applications independently and/or in conjunction with utility representatives. Thus we can help eliminate a major paperwork headache and let the client focus on their core business tasks.
Demonstration of Energy Savings and Verification of Light Level
We understand that lighting installations represent a significant upfront commitment. We want customers to become comfortable with our work and with the type of beneficial results they can expect from our projects. We don’t like surprises either and work hard to ensure that we set appropriate expectations and maintain open communication with our clients.
Typically, projects begin with a small-scale implementation at the client site using representative fixtures agreed on with the client. This allows us to demonstrate kW savings under real-world conditions while matching or even increasing light levels compared to existing fixtures. The test install also helps employees at the facility to evaluate the light quality and fixture aesthetic for themselves.
If a client requests metering to verify hours of operation and/or occupancy, Spectrum will gladly install data logging devices to obtain this data. Most lighting tests are completed in one or two days. The data is used to refine the before and after kW estimates in our Savings Summary spreadsheet, and the Financial Analysis for the project is also revised to reflect any adjustments to the expected payback.
Installation Audit/Survey
Following energy savings and light level verification tests, and before a contract is drafted, a second lighting study is performed to:
- Verify fixture counts and specifications
- Identify installation challenges affecting labor costs and timeline
Project Installation and Management
Spectrum ensures that our lighting projects will not interfere with clients’ day-to-day operations. To accomplish this each facility is assigned a project manager who:
- Provides a summary/overview of the project
- Orders and tracks materials
- Meets with all interested parties at the facility
- Coordinates suitable times for the installation process
- Handles Internal Logistics for recycling
- Confirms Voltages and Electrical Lines
- Provides ongoing status updates and milestones to the client
Project Completion
At the conclusion of the project, we conduct a detailed walk-through of the facility with the client. We ensure that any remnants of the installation process are recycled or otherwise properly disposed of. Post-installation inspections will be scheduled with utility representatives and any other authority per the customer requests.
Warranty & Maintenance
Customers are encouraged to contact Spectrum at any time with questions or concerns that arise related to the current project or future energy management needs. We are proud of the work that we perform and value building long-term customer relationships. Spectrum maintains strong relationships with major lighting manufacturers and distributors. To-date, we have found manufacturers to be highly cooperative in assuring a high level of customer satisfaction with their products.
Spectrum will facilitate any warranty issues on behalf of the customer and direct the client to the appropriate manufacturer as needed.
Public Relations & Media CoverageIs an investment in the environment as well as their business, and we want our clients to be recognized for taking proactive steps to go green. Spectrum works with local media outlets and public relations departments to highlight the energy savings and environmental impact associated with our clients’ projects.
